This guide is for practices that are already registered with DataDerm and need to add or disable clinicians. Before a clinician can be added to the DataDerm Registry, they will need an AAD account. During this process, there will be an opportunity to review which clinicians do not have an account. Before you get started, you will need a valid NPI for each clinician.
Note: Adding a clinician will allow them to log in and access their dashboard, but it does not ensure that we are receiving data for that clinician.
- Please click on the link dataderm.aad.org.
- Log in to the screen below using your AAD ID or email address and password. Click “Continue”.
- After logging in, navigate to the left side menu. Click “Practice Management”, then click the “>” symbol to open the Practice Management screen.
- Click the “Clinicians” tab as shown above.
- Click the “+” to add clinicians, separating each NPI with a comma or line break.
- Click “Add clinicians”.
- The dashboard will first check that the NPIs are in a valid format. If they are an invalid format they will appear with a red exclamation mark. You will need to edit these to be a 10-digit number or delete them before proceeding. Once all NPIs appear with a green check mark, click “Import Clinicians”.
- During the import, the system will verify that the NPI exists in the NPPES database as well as the AAD database. If the NPI returns an error, the next screen will describe the type of NPI error that occurred and how to resolve it.
- You can choose to skip for now, and the listed NPIs, along with the errors found, will be saved in the system so you can return later and edit them.
- Please note that any NPIs with errors will not be able to log in and access individual dashboards until the errors are resolved.
- To resolve NPI errors, click the red exclamation shown above.
If an AAD account is not found, enter your clinician's email in the text box. The system will send the clinician an email on your behalf with instructions to create an account.
- Once the clinician account is created, the practice rep will need to navigate back to the “Practice Management” screen, select the “Resolve NPI errors” tab, and click “Retry Selected” to correct the error.
- The clinician can then access the system using their AAD ID or email address and corresponding password for the AAD website.
How to disable a clinician
- Navigate to the left side menu. Click “Practice Management”, then click the “>” symbol to open the Practice Management screen.
- Please navigate to the “Clinicians” tab. Click the enabled button under “Status” for the clinician you want to disable. This will switch the toggle to disabled.
NOTE: Practice reps should review their clinicians' list biannually to ensure accuracy.
